The protection of personal information is important to the SHEET METAL WORKERS' INTERNATIONAL ASSOCIATION LOCAL 8 and we have a policy and procedures related with the protection of privacy. All employees and authorized representatives of the SHEET METAL WORKERS' INTERNATIONAL ASSOCIATION LOCAL 8 are required to adhere to this policy and take all reasonable steps to ensure that personal information is protected from unauthorized access.
Collection, Use and Disclosure of Personal Information
The SHEET METAL WORKERS' INTERNATIONAL ASSOCIATION LOCAL 8 collects personal information from its members and individuals for the administration of collective agreements with its signatory employers, dispatching and the administration of health and welfare plans and pension funds.
The SHEET METAL WORKERS' INTERNATIONAL ASSOCIATION LOCAL 8 collects the following types of personal information:

In administering the collective bargaining relationships we have with our signatory employers and in the general administration of our health and welfare plan, pension fund, training and Union offices we may use this information to perform the following tasks:
Dispatching and finding employment;
Training;
Providing benefits;
Providing dues and remittances to home Local where applicable;
Notification of meetings, collective bargaining and information on Union activities;
Procedures under the SMWIA Constitution and Ritual;
Processing of grievances;
Newsletters (Local # 8 Tinner or SMWIA Journal)
Personal information may be disclosed to the following parties:
Coughlin
& Associates Ltd.
Alberta Sheet Metal Workers Retirement Trust Fund;
SMWIA Local # 8 Benevolent Training / ITI;
All signatory employers with the Union;
Any other party authorized to request this
information (i.e. government agency).
The SHEET METAL WORKERS' INTERNATIONAL ASSOCIATION LOCAL 8 will not disclose personal information to any other third parties for commercial purposes. If we need to use personal information for any other purpose we will contact the member/individual and obtain consent prior to that use.
Personal information is safeguarded to prevent unauthorized access, use and disclosure. Personal information is kept on file for a minimum of seven years, after such time and after we have deemed the personal information is no longer required it is destroyed. The length of time the personal information is retained is also governed by other legal requirements and therefore personal information may be retained longer than the above stated time period.
Members and individuals may access their personal information by making a request to Gregory Reid (Edmonton office) or J. Peter Wyatt (Calgary office). The Privacy Officer will respond to the request within the time limits set out in the legislation. (ordinarily 45 days). Please free to contact the Privacy Officer with any questions.
All complaints and concerns arising from the implementation and breach of this Policy must be filed with the Privacy Officer in writing. All complaints must be filed within 30 calendar days from the date the breach took place. The Privacy Officer will respond to all complaints and concerns in a timely manner.
All personal information collected by the SHEET METAL WORKERS' INTERNATIONAL ASSOCIATION LOCAL 8 prior to January 1, 2004 will be disclosed and used in accordance with past practices.

The Union collects personal information from Employers regarding Collective Agreement administration procedures. More detail on how personal information is collected, used and disclosed is set out in the Union’s Privacy Policy, which is available upon request. Your information may be disclosed to employers and the various Benefit/Trust Funds constituted by a Collective Agreement for the purposes of assisting with the administration of your benefits. As well, your information may be disclosed to any other party authorized to request this information (i.e. government agency).
